Streamline Move-in and Move-out Inspections with Innago’s New Damage Report Feature

Move-in and move-out inspections are a critical part of property management, but they can often feel like a hassle. Printed forms and e-mails can get lost. Sometimes you need to meet up for signatures. Handwriting isn’t always legible. That’s why we created Damage Report - a simple, effective feature designed to make these inspections easier while keeping everything stored and organized within your Innago account. 

How to Complete a Damage Report 

With Innago's Damage Report, landlords can initiate a streamlined inspection process with one click during the lease creation setup. Here’s a general step-by-step guide on how the tool works: 

  1. Initiate the Damage Report – You start the process by sending the report to your tenant with the click of a button and they receive a notification. 
  2. Tenant Fills Out the Report – The tenant details damages by room/location and can include pictures. 
  3. Tenant Signs the Report – The tenant digitally signs the document. 
  4. Review and Sign – You review the report and sign it (or reject it and provide feedback). 
  5. Stored for Easy Access – A PDF of the report is saved under ‘Leases & Files’ for easily accessible reference.

Key Things to Note 

It’s important to call out several key points about this new feature. We’ll start with some things more focused on your tenant(s): 

  • The report is flexible, allowing your tenant to detail any notes and include photos with ease. The process is intuitive on desktop or mobile.   
  • Your tenant will see a summary page after they fill out the damage report. This shows all the locations in one place, and they can click on a location to add more items or view their notes/pictures. This page will also allow them to add overall comments about the unit’s condition.  
  • If one tenant signs the damage report for a unit and the landlord signs it, then that document is legally binding, regardless of how many tenants live in the unit.  
  • There is a legal disclaimer that must be acknowledged before a tenant completes the form (show screenshot below). 

 

Here are several items to keep in mind that are more landlord-focused: 

  • You can reject a damage report (and your tenant can resubmit) as many times as necessary until everyone signs. 
  • You can send reminders through Innago if your tenant hasn’t completed the damage report. 
  • You can initiate damage reports for upcoming leases or active leases (we understand this case is less likely, but it’s there just in case). 
  • You can also initiate a damage report from the property unit detail. 
  • When adding a new lease, you’ll have the option to include a damage report before the summary step.
